Privacy policy

1. Data controller

Pharis is the controller of the personal data collected through its desktop app, its Chrome extension and this website. For any matter related to your data, you can contact us at the email address listed at the end of this policy.

2. Data we collect

We only collect the data needed to provide the service:

• Identification and contact data: name and email address, usually the institutional email the student or professor signs in with.
• Academic usage data: history of questions and conversations with the tutor, doubts raised, topics consulted and study patterns (frequency and length of sessions).
• Course context: references to assignments, materials and instructions from your institution's Moodle installation, which Pharis connects to in order to give answers with context.
• Technical data: minimal session information (device type, browser and error logs) needed to run and secure the service.
• Demo request data: if you fill in the form on this website, we collect your name, work email, institution, role, approximate size of the institution and the learning platform (LMS) it uses.

Pharis does not request sensitive personal data. Please do not share information of that kind in your conversations with the tutor.

3. How we use your data

We process your data for the following purposes:

• Providing and improving the service: giving answers with the context of your course and improving the quality of the tutor's support.
• Teaching analytics for professors: generating the monitoring dashboard and alerts about students at risk of dropping out, based on recorded study patterns and questions. These analytics are shared with the professor and the corresponding educational institution.
• Security and support: preventing misuse, diagnosing failures and handling support requests.
• Handling demo requests: contacting you to schedule the demo and following up on your request commercially. To notify us of each request we use an email provider and a hosting provider, which process the data only on our behalf.

We do not sell your personal data or use it for third-party advertising.

4. Data retention

We keep your personal data while your account is active or for as long as the relationship with your educational institution lasts. Once the school year or the contractual relationship with the institution ends, the data is kept for the period required to meet legal obligations and is then deleted or irreversibly anonymized for aggregate statistical analysis.

Demo request data is kept for up to 24 months from our last contact with you, unless your institution signs up for the service or you ask us to delete it sooner.

5. Your ARCO rights

Under the LFPDPPP, you have the right to:

• Access your personal data and learn how we process it.
• Rectify your data when it is inaccurate or incomplete.
• Cancel your data when you consider it is not needed for any of the stated purposes.
• Object to the processing of your data for specific purposes.

You may also revoke any consent you have given us and limit the use or disclosure of your data. To exercise any of these rights, send your request to the email address below, stating your name, the right you wish to exercise and a way to contact you. We will respond within the time limits set by law.

6. Security

We apply reasonable administrative, technical and physical measures to protect your data against unauthorized access, loss or alteration. Access to teaching analytics is restricted to the professor and authorized staff at your institution.

7. Changes to this policy

We may update this policy to reflect changes in the service or in applicable law. We will publish any change on this page and update the "last updated" date.
